How SudoVault Software collects, uses and protects personal information under the Protection of Personal Information Act (POPIA).
Who we are

Information we collect
When you use our contact form we collect your name, company, email address, phone number, the kind of help you think you need and the problem you describe. When we work with you as a client we may also process the names and work contact details of your team. Like most websites, our hosting provider records basic technical information such as your browser type and IP address to keep the site secure and working.
Why we use it
We use your information to reply to your enquiry, prepare proposals, deliver and support the work we agree on, invoice for it and meet our legal obligations. We rely on your consent when you contact us, on our contract with you when you become a client, and on our legitimate interest in running and securing our business. We do not sell personal information or use it for unrelated marketing.
Who we share it with
Only with service providers who help us run the business, such as our website hosting, database and email providers, and only as far as they need it. They are required to keep it confidential and secure. We may also disclose information where the law requires it. Some providers may store data on servers outside South Africa; where this happens we use providers bound by protections comparable to POPIA.
How we protect it
Access is limited to the people who need it. We use encrypted connections, access controls and reputable infrastructure providers. If we become aware of a breach affecting your information, we will notify you and the Information Regulator as POPIA requires.
How long we keep it
Enquiries that don't lead to work are deleted within twelve months. Client records are kept for as long as the relationship lasts and afterwards for as long as tax and company law require.
Your rights
You may ask what personal information we hold about you, ask us to correct or delete it, object to how we use it, or withdraw your consent. Email hello@sudovault.co.za and we will respond within a reasonable time. If you are unhappy with our response, you may complain to the Information Regulator of South Africa at inforegulator.org.za.
Changes to this policy
We may update this policy as our services change. The current version will always be on this page.
